This notice explains how Meon Valley Home Clean collects, uses, shares and protects personal information when you visit our website, make an enquiry, arrange a cleaning service, apply to join our network of independent cleaning professionals, or otherwise communicate with us.

Rosanna Visser trading as Meon Valley Home Clean provides professionally managed residential cleaning services in the Meon Valley and selected surrounding areas of Hampshire, United Kingdom.

For the personal information described in this notice, Rosanna Visser trading as Meon Valley Home Clean is generally the data controller. This means we decide why and how that information is used.

2. Information we collect

Depending on how you use our services, we may collect:

  • your name, email address and telephone number;
  • your service address and postcode;
  • property details needed to price, arrange and fulfil the booked service;
  • booking dates, frequency, selected services, extras and service history;
  • access instructions and information you choose to provide about your property;
  • billing, transaction and payment-status information;
  • messages, enquiries, complaints, feedback and service-recovery records;
  • Before & After photographs taken for service verification and quality control;
  • if you apply to join our network of independent cleaning professionals: your application details, experience, availability, references and the identification, insurance, right-to-work and other documents we ask to see;
  • technical information generated when you use our website, where collected by our website host.

Please do not provide information about another person unless it is necessary for the service and you are entitled to provide it.

Where we rely on legitimate interests, we consider whether the use is necessary, proportionate and balanced against your rights and reasonable expectations.

4. Enquiries, forms and payment

Enquiries and applications submitted through the forms on this website are processed by Formspree, a form service, which passes each submission to us by email. You may also contact us directly by email or WhatsApp.

Payment arrangements are confirmed with your written quote. We do not ask you to send full payment-card details to us by ordinary email or WhatsApp. If we introduce an online booking or payment platform, we will update this notice.

5. Who we share information with

We only share information where there is a business, contractual or legal reason to do so. Recipients may include:

  • payment providers and banks used to take and make payments;
  • communications providers used for email and messaging, including WhatsApp where you choose to contact us that way;
  • Netlify, which hosts this website;
  • Formspree, which processes the enquiry and application forms on this website;
  • self-employed cleaning professionals, who receive only the information reasonably required to fulfil the assigned booking;
  • professional advisers, insurers, accountants or legal representatives where necessary; and
  • regulators, courts, law-enforcement bodies or public authorities where disclosure is required or permitted by law.

We do not sell client personal information.

6. Before & After photographs

Quality-control photographs are used to verify relevant areas before and after a service, support consistency and help us investigate a concern quickly if something is reported.

Cleaning professionals are required to keep these photographs focused on areas relevant to the service. They should not intentionally photograph people, identification documents, financial information or other sensitive material. Please secure or remove sensitive documents and private items before the service.

Quality-control photographs are not used for public marketing, social media or advertising without separate permission.

7. International processing

Some technology providers supporting our hosting, payment or communications systems may process information outside the United Kingdom. Where UK data protection law requires additional safeguards for an international transfer, the relevant provider or contractual arrangement must provide an appropriate transfer mechanism or safeguard.

Providers such as Netlify, Formspree and WhatsApp may process information in countries outside the UK, including the United States, and describe their own contractual safeguards for relevant transfers in their privacy information.

8. How long we keep information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, and for any additional period required by tax, accounting, insurance, dispute-resolution or other legal obligations.

  • Enquiry information that does not lead to a booking is removed or anonymised when it is no longer reasonably needed.
  • Applications from independent cleaning professionals that are not taken forward are removed when they are no longer reasonably needed.
  • Booking, transaction and service records are retained for the period necessary to administer the relationship and meet applicable record-keeping obligations.
  • Quality-control photographs are retained only for as long as reasonably necessary for verification, quality assurance and the resolution of any concern. Relevant records may be retained longer where a complaint, claim, payment dispute, security issue or legal obligation requires it.

9. Security

We use proportionate organisational and technical measures intended to protect personal information against unauthorised access, alteration, loss or disclosure. Access to booking information is limited to those who need it for the relevant operational purpose.

No online system can be guaranteed to be completely secure. Please contact us promptly if you believe information connected with your booking has been compromised.

10. Your data-protection rights

Depending on the circumstances and the lawful basis involved, your rights may include the right to:

  • ask for access to your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask for deletion of information in certain circumstances;
  • ask us to restrict how information is used in certain circumstances;

This website is hosted through Netlify. Enquiry and application forms are processed by Formspree so that we can receive your submission. This website does not currently use non-essential analytics or advertising cookies.

If we add non-essential analytics, advertising or marketing technologies to this website, we will update our cookie information and, where required, provide an appropriate choice before those technologies are used.

12. Complaints

If you are concerned about how we have used your personal information, please contact us first so that we can investigate the issue.

You also have the right to complain to the UK Information Commissioner's Office (ICO), the UK's data-protection regulator.

13. Changes to this notice

We may update this Privacy Notice as our systems, suppliers or services change. The current version will be published on this page with the date of the latest update.
